By creating an account or using PaperworkAI, you agree to these Terms of Service. If you do not agree, please do not use the platform. These terms apply to all users, including business owners and staff members using the portal.
2. Description of Service
PaperworkAI is an AI-powered business operations platform that provides:
- Document scanning and AI data extraction (invoices, receipts, delivery notes, contracts)
- Invoice and expense tracking with VAT calculation and multi-currency support
- Staff management, timesheet tracking, and overtime calculation
- Meeting recording, AI transcription, and action item tracking
- AI chat assistant for business queries
- Daily AI-generated business briefings
- Supplier price tracking and analysis
- Email draft generation
- Month-end "Close the Books" guided workflow
- Business reports and CSV exports
3. Subscription Plans
PaperworkAI offers a subscription plan:
- Business (€49/month or €519/year): Unlimited documents, unlimited staff members, AI-powered document scanning, financial dashboard, staff management, meeting transcription, daily briefings, email drafts, supplier price tracking, and reports.
Annual billing is available at a reduced rate. All plans include a 30-day free trial with no credit card required.
4. Account Responsibilities
- You are responsible for maintaining the confidentiality of your account credentials.
- You must provide accurate and complete registration information.
- You are responsible for all activity that occurs under your account.
- You must not share your account with unauthorized parties.
- You are responsible for the accuracy and legality of the documents you upload.
5. AI-Generated Content
PaperworkAI uses AI models to process your data. Please note:
- AI-generated extractions, summaries, and briefings may contain errors. Always verify important data.
- AI output should not be considered professional financial, legal, or tax advice.
- You are responsible for reviewing and confirming the accuracy of AI-extracted data before making business decisions.
- We are not liable for decisions made based on AI-generated content.
6. Acceptable Use
You agree not to:
- Upload illegal, fraudulent, or malicious documents.
- Attempt to reverse-engineer, hack, or disrupt the platform.
- Use the service for any unlawful purpose.
- Exceed your plan's usage limits through automated or abusive means.
- Share staff portal links with unauthorized individuals.
7. Cancellation and Refunds
You may cancel your subscription at any time through Settings → Subscription. Upon cancellation:
- Your account will remain accessible until the end of the current billing period.
- No refunds are provided for partial billing periods.
- You can reactivate your subscription at any time by selecting a new plan.
- You may delete your account and all data at any time through Settings → Privacy.
8. Limitation of Liability
PaperworkAI is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the service, including but not limited to data loss, financial decisions based on AI output, or service interruptions.
9. Governing Law
These terms are governed by the laws of the European Union. Any disputes shall be resolved in the courts of the jurisdiction where PaperworkAI is registered.
10. Changes to Terms
We may update these terms from time to time. We will notify you of significant changes via email or in-app notification. Continued use of the service after changes constitutes acceptance of the updated terms.
